The market for used photocopiers in the UK is vibrant and the sheer range of choices on offer can be somewhat bewildering. There are several retailers dedicated to supplying used photocopiers to businesses and individuals, and also a considerable number of private sellers offering single photocopiers through internet auction sites.

Buyer specifications

The most obvious point to consider before buying a cheap used photocopier is the quantity of units needed. While the dedicated used copier companies will usually be able to satisfy orders for a specific number of units, there are several sellers in the UK who may be able to supply the exact number at a lower cost as part of a one-off sale, resulting from an office closure or a stock clearance. If you only require one copier, auction websites are generally the cheapest way to go. However, specialist companies are more reliable and offer firmer guarantees than private sellers.

Devoting some time to considering the technical specifications your used photocopier must fulfil will make the process of finding a seller much easier. The following list of questions is useful to bear in mind:

  • Do I need the facility to make colour copies as well as black and white?
  • How many copies do I expect to make on a daily/weekly/monthly basis?
  • Will a certain brand of copier be incompatible with related office systems?
  • Will I need to stock a certain size/type of paper to integrate with the photocopier? And what are the photocopier’s paper storage capabilities?
  • Will the photocopier need include fax or document scanning capabilities?
  • If faced with a tight deadline, will the copier be able to turn around copying jobs in a set time period? And how easy will it be to estimate job times based on the number of document pages required?
  • How much human operation will the copier require? i.e. is it self-loading? Will I be able to send the relevant pages to be copied directly to the photocopier via my office intranet?
  • How much space will the copier occupy on the office floor/my desktop?
  • What is my budget?

Once you have considered these questions it will be easier to narrow down your list of suppliers. For example, certain companies will specialise in a particular brand of copier – i.e. Ricoh or Canon – and will be able to give advice on the how well the specifications of these machines fulfil the buyer’s requirements. Some dedicated suppliers will also incorporate a maintenance service, which is a useful life line to heave when using pre-owned machines. Single used photocopiers bought from auction sites may not still be under warranty, and the level of technical support on offer will be far less comprehensive.
